Transformer Procurement Guide

Prepare the technical inputs for your transformer enquiry: application, ratings, site conditions, documents and delivery requirements.

Use this guide for oil-immersed and dry-type enquiries. Specific parameters, configuration and supply scope depend on the project and technical confirmation.

Start with the Application

Describe what the transformer will supply and where it connects before choosing a configuration.

Project and duty

State the country, application, project stage and whether this is a new installation, an expansion or a replacement. Describe the connected loads and operating pattern.

Network context

Provide a single-line diagram (SLD), the transformer’s position in the system and any parallel-operation or existing-equipment constraints. Identify the project engineer or utility contact for clarification.

Construction preference

State oil-immersed, dry-type or To Be Confirmed, together with the reason for the preference. Identify indoor or outdoor installation and any owner-imposed restrictions.

OIL-IMMERSED ENQUIRIES

Record fluid and installation constraints.

Share any specified insulating-fluid requirements, containment provisions, fire-related project requirements and tank or accessory restrictions. Confirm the proposed arrangement during technical review.

DRY-TYPE ENQUIRIES

Record room and enclosure constraints.

Share any specified construction preference, enclosure requirement, ventilation arrangement and indoor or outdoor exposure. Request project-specific technical and supply confirmation.

02 / PROCUREMENT INPUTS

Electrical Ratings to Confirm

Use the project specification or approved design as the source. Include units and identify provisional values.

Capacity and duty
State rated capacity in kVA or MVA, quantity per rating and the expected load profile. Attach any loading, expansion or overload requirements for engineering review.
Voltages, frequency and phase
Provide primary and secondary voltages, frequency and phase. Distinguish nominal system voltage from equipment requirements where the specification does so.
Connections and impedance
Provide the specified vector group, neutral arrangement and impedance, including the reference basis where available. Attach existing nameplate data if parallel operation or replacement is involved.
Tapping and cooling
Identify required tap range, tap steps and tap-changer type, if specified. State the cooling requirement and any restrictions on fans or auxiliary supplies.
Insulation and performance
Share specified insulation level / BIL, temperature rise, losses, efficiency and noise requirements with their measurement or acceptance basis. Attach the relevant technical schedule rather than selecting assumed values.

Site and Environmental Conditions

Describe the actual installation environment; do not assume standard service conditions.

Climate and exposure

Provide ambient temperature range and altitude. Describe humidity, condensation, dust, salt, corrosive exposure or other special conditions known for the site.

Space and access

Attach layout dimensions, access restrictions, foundation or mounting constraints, cable approach and maintenance-space requirements. Identify any installation envelope that must be respected.

Room and safety requirements

State indoor or outdoor location, ventilation provisions, enclosure expectations and project-specific fire, seismic or acoustic requirements. Attach the owner’s criteria where applicable.

04 / PROCUREMENT INPUTS

Standards and Compliance Inputs

Provide the exact requirements imposed by the buyer, utility or project authority. A standards-family name alone does not define the acceptance basis.

Reference and edition
List each required standard number, relevant part and edition as stated in the specification. If IEC, IEEE/ANSI, GB or another family is named, attach the detailed clauses or schedule supplied by the project.
Local and owner requirements
Attach utility specifications, destination requirements and any project approval criteria. Identify who confirms applicability and resolves conflicting requirements.
Evidence and acceptance
State requested certificates, reports, inspections or witness points, their required issuer and acceptance criteria. Confirm availability and scope before treating any evidence as included.

Use Applicable Standard in the RFQ and attach the supporting specification. No standard applicability, certification or compliance result is established by this guide.

05 / PROCUREMENT INPUTS

Accessories, Monitoring and Interfaces

Separate required items from preferences. The following are prompts for review, not a standard included accessory list.

Oil-immersed requirements

List any requested fluid-level indication, temperature indication, pressure-related devices, valves or other tank accessories. Provide alarm and trip requirements where specified; suitability depends on the agreed design.

Dry-type requirements

List any specified temperature sensors, monitoring unit, cooling fans and enclosure requirements. Describe the expected alarm, trip and fan-control functions for technical confirmation.

Connections and signals

Share cable or busbar interfaces, terminal positions, neutral and earthing requirements, auxiliary supply details and monitoring signals or communication requirements. Attach interface drawings where available.

06 / PROCUREMENT INPUTS

Drawings and Documents Buyers Should Prepare

Send the latest available revisions and identify which document takes precedence. Preliminary information can be clearly marked for review.

Technical specification or tender schedule
Shows the required ratings, performance, standards and acceptance conditions. Mark unresolved clauses and proposed deviations separately.
Single-line diagram and load information
Shows the connection point, system arrangement and connected equipment. Include available load schedules and operating requirements.
BOQ or equipment schedule
Links each equipment tag to a description, rating and quantity. Keep different transformer configurations on separate lines.
Layout and interface drawings
Shows available space, installation dimensions, cable or busbar approach and mounting interfaces. Include drawing numbers, units and revision dates.
Existing-equipment records
For replacement or parallel-operation enquiries, include readable nameplate images, relevant drawings and site photos. A visual or nameplate match alone does not establish compatibility.

Submit these files in the existing RFQ Documents step. Identify each file’s purpose and revision; flag missing documents in Additional Technical Requirements.

07 / PROCUREMENT INPUTS

Quantity, Delivery Destination and Commercial Inputs

Connect the technical scope to the required quantities and delivery basis.

Quantity
State units by equipment tag and configuration. Separate optional quantities, spares and any proposed delivery batches.
Destination Country / Port
Provide country and port where known, plus the final site location and access or unloading constraints when relevant.
Required Delivery / Target Date
Enter the requested date and explain whether it means dispatch, port arrival or site receipt. It is a planning input, not a confirmed lead time.
Preferred Incoterm
Provide the requested term, exact named place or port and intended rules edition. Flag packing, freight, insurance, clearance and unloading expectations for commercial review.

Common Information Gaps That Delay Quotations

Resolve what you can. Make the remaining uncertainty visible so it can be addressed during review.

Capacity without application
Add the load description, operating duty and connection diagram.
Voltage without connection details
Add both winding voltages, frequency, phase and available connection or neutral requirements.
“Standard conditions” without site data
Provide location, temperature range, altitude and known environmental constraints.
A standard name without an edition
Attach the specified parts, editions and owner or utility requirements; flag unknowns.
Mixed quantities or conflicting files
Separate equipment tags and revisions, and identify the governing document.
A target date without a delivery basis
Explain the delivery milestone, destination and preferred commercial term.
