When Exact Part Numbers Are Unavailable

A missing label or incomplete record does not have to stop the initial enquiry. Begin with the evidence that is available.

Identify the equipment, the part’s location and its function. Include legible markings, overall views and close-ups of connections. State which details are unknown; do not infer a rating or material from appearance.

Photos alone cannot guarantee interchangeability. Compatibility, materials, dimensions and performance matching all require technical confirmation.

Information Required for Identification

Equipment identity
Equipment nameplate, manufacturer as marked, model, serial number and approximate year. Include the original part number if readable.
Part identity and condition
Explain what the component does, why replacement is needed and whether a previous modification has been made. Show its position in the equipment.
Geometry and interfaces
Supply drawings or measured dimensions with units and reference points. Include hole spacing, flange or thread details, orientation and installation space.
Existing operating conditions
Provide applicable electrical ratings, signal or output details, medium in contact with the part, temperature and environment. Mark unverified information as To Be Confirmed.

Replacement Parts and Component Scope

Use the following component groups to describe your enquiry. These are identification categories, not a stock list or an approved compatibility catalogue. Suitability and supply scope require review for each request.

Tank and cooling interfaces

Transformer tanks, corrugated tanks, radiators, conservators and valves: identify connection geometry, mounting and operating requirements.

Electrical and insulation interfaces

Bushings, copper components, epoxy and insulation components: provide interface drawings, ratings and material requirements.

Sealing, structure and control

Seals and gaskets, clamps and structural parts, control cabinets and terminal boxes: identify mating surfaces, fixing details and relevant signals.

Mechanical fit
Check overall dimensions, hole pattern, flange or thread specification, connection orientation, clearance and access against the mating equipment.
Material and sealing
Confirm material specifications, sealing surfaces and compatibility with the medium and operating conditions. Similar appearance is not material evidence.
Electrical and functional duty
Where applicable, compare voltage and current ratings, insulation requirements, terminals, wiring and signal or output characteristics.
System and site conditions
Review cooling needs, environment and any effect on the surrounding equipment. Identify required inspection or test evidence before approval.

Matching one dimension or rating does not establish a complete match. Record deviations and unresolved checks before accepting a proposed part.

Retrofit vs Like-for-like Replacement

Like-for-like replacement

The intended outcome is to retain the existing function and interfaces. Confirm the required dimensions, materials and performance against the existing equipment; the description “like-for-like” is not approval.

Retrofit

The intended outcome includes a change to the arrangement, interface or function. Define the change, affected equipment, adaptation work and acceptance criteria before selection.

State whether modifications are permitted. If they are, identify who will approve the design changes and who will carry out installation and commissioning.

Technical Clarification Workflow

    Send identification details, drawings and the intended replacement or retrofit scope.

    Separate verified facts from missing dimensions, uncertain materials and unconfirmed ratings.

    Review the proposal

    Compare the proposed configuration with interfaces, duty and permitted modifications. Record deviations.

    Approve the basis

    Agree the technical documents and acceptance requirements before final configuration and commercial confirmation.

Documentation and Approval

Make the approved technical basis traceable to the equipment and the part being replaced.

Reference package
Identify equipment and part references, drawing numbers and revisions. Keep measured values separate from estimates.
Proposed configuration
Agree the relevant dimensions, interfaces, materials and ratings, with an explicit list of deviations and open items.
Acceptance and release
Specify the inspection, test or material evidence needed for the particular part and the responsible approver. Confirm which documents will be supplied and when.

Document availability and acceptance requirements are subject to project confirmation. An enquiry, photograph or preliminary proposal does not constitute technical approval.

What Buyers Should Upload

Nameplates and photographs

Legible equipment and part labels; an overall view showing location; close-ups of mounting points, connections and visible condition.

Drawings and dimensions

Existing drawings or a dimensioned sketch with units, reference points, hole spacing, connection sizes and available installation space.

Duty and change notes

Available datasheets, existing operating conditions, the reason for replacement, permitted modifications and any required approval criteria.

Use descriptive file names and identify the latest revision. The existing RFQ accepts up to 8 non-empty files, 10 MB each: PDF, DOC, DOCX, XLS, XLSX, JPG, JPEG or PNG. Explain missing information in Additional Technical Requirements.
